Events are where transfers fail
An event has a start time that everyone arrives for and an end time that everyone leaves at, which is exactly the situation a transfer or a ride-app handles worst: five hundred people wanting a car at 11:15 pm outside Casa Loma, three thousand leaving the Convention Centre at 5:30, a red carpet with a drop-off order and a marshal. Event transportation is the hourly product built for that shape - cars that wait through the event and are positioned before it ends, Sprinter shuttles on timed loops, and a dispatcher with the programme in hand - plus the specific knowledge of where each Toronto venue's car entrance actually is.
This page covers galas, red carpets and TIFF week, conferences and trade shows, awards nights and AGMs, and the December calendar. The evening page covers the theatre-and-dinner night and the sports page the arenas; the wedding page is its own event.

Galas
Toronto's gala calendar runs from the Brazilian Ball in the spring to the Governor General's Awards gala in the autumn, through the Royal Ontario Museum, the Art Gallery of Ontario, Casa Loma, the Carlu, the Fairmont Royal York's Imperial and Canadian Rooms, the Liberty Grand, the Palais Royale, the Aga Khan Museum, Evergreen Brick Works, the Distillery's Fermenting Cellar, and the Four Seasons' and Ritz-Carlton's ballrooms. Each has a car entrance that is not the taxi entrance and a departure pattern the chauffeurs have learned: Casa Loma's drive is a queue by 11 and a car in it before the last speech leaves in five minutes; the ROM's Queen's Park Crescent lay-by empties fast if the chauffeur is on it at the first thank-you; the Carlu's College Street door is a crowd and the car waits on Bay. A gala is an hourly booking of four to six hours for a couple or a table's host, with the car waiting through dinner and the auction and positioned for the exit. The Yorkville and downtown pages have the doors.
Red carpets and TIFF
The Toronto International Film Festival in September is ten days of red carpets at Roy Thomson Hall, the Princess of Wales, the Elgin, the Lightbox and the Scotiabank Theatre, each with a drop-off order run by the festival's marshals, a press line, a specific minute at which a car may arrive and a specific curb it must leave by. Publicists book talent's festival days as twelve-hour hourly blocks in July; sponsors, distributors and the festival's own guests book galas and parties as evening blocks; and every black car in the city is reserved. The chauffeurs who work TIFF know the carpet protocol at each venue - Roy Thomson's Simcoe Street approach, the Princess of Wales' King Street window, the Lightbox's John Street drop - and the after-party exits at the Shangri-La, the St. Regis, the Fairmont Royal York and the Soho House. TIFF publishes the schedule in August; the desk holds cars for account clients from July.
Conferences and trade shows
The Metro Toronto Convention Centre on Front Street, the Enercare Centre and the Beanfield Centre at Exhibition Place, the Toronto Congress Centre and the International Centre near the airport, and the hotel ballrooms host Toronto's conferences - Collision, PDAC, the Toronto auto show, the Royal Winter Fair, the Interior Design Show, and hundreds of association meetings. A company's delegation needs Sprinters between the hotel block and the venue on a timed loop each morning and evening, an S-Class for the keynote speaker's day, sedans for the client dinners, and cars for the airport at each end. The Sprinter page prices the loop per vehicle; the MTCC's south building has a Front Street lay-by and its north building a Lower Simcoe drop; the Enercare Centre is reached from Manitoba Drive; the Toronto Congress Centre is off Dixon Road ten minutes from Pearson. Delegate shuttles are built from the programme by the dispatcher and run on the corporate account.
Event transportation in Toronto is hourly chauffeured service built for a start time everyone arrives for and an end time everyone leaves at: cars that wait through a gala or a red carpet and are positioned before it ends, Executive Sprinters on timed loops between a hotel block and a conference venue, and a dispatcher with the programme. Galas, TIFF, the Convention Centre, awards nights, AGMs and the December calendar.
Awards nights, AGMs and analyst days
The Junos when they are in Toronto, the Canadian Screen Awards, industry awards at the Fairmont and the Westin, a bank's AGM at the Design Exchange or a hotel ballroom, a company's analyst day at its offices or the Shangri-La: each is a set of hourly cars for principals and Sprinters for staff and guests, with the dispatcher running a list of who arrives when and leaves with whom. The roadshow page explains how a running order is built and the executive car service page the account.
The December calendar
Office holiday parties, client appreciation dinners, the Nutcracker, the Santa Claus Parade's road closures, New Year's Eve: the busiest month for evening bookings and the one where a ride-app surges hardest. A company's holiday party at a King West venue or a Vaughan banquet hall books Sprinters to bring staff and, more importantly, to take them home to every corner of the GTA at 1 am; a client dinner books S-Classes; New Year's Eve books everything in the city weeks ahead at a peak-date rate the rates page explains. The group Sprinter page covers the party; the evening page the dinner.
FIFA World Cup 2026 and the summer of events
Toronto hosts FIFA World Cup matches at BMO Field in June and July 2026, with fan festivals, road closures around Exhibition Place and Lake Shore, and a city full of visitors. Match days are hourly bookings with the drop at the Princes' Gate and the pickup on Strachan north of the Gardiner or at the Dufferin gate; hospitality clients book Sprinters from the hotel block; the sports page has the venue detail and the desk watches the City of Toronto's closure notices. The Honda Indy in July, Caribbean Carnival's parade in August, the CNE and TIFF in September follow, and each closes the Gardiner or Lake Shore for a day the chauffeurs plan around.
Event planners and the desk
Event planners send the run of show - arrival window, programme, departure time, VIP list, hotel block - and the dispatcher returns a transport plan: vehicles, chauffeurs, drop-off and pickup points at the venue, the shuttle loop timetable, and the dispatcher's number for the night. Changes on the night - the speech ran long, the after-party moved - are by text and the cars follow. The planner never speaks to a chauffeur; the desk does. For a recurring event the plan is filed and re-used.

Pricing an event
Hourly cars at the class rate for the date - a gala Saturday or TIFF week carries the peak-date layer - with the class minimum, stops and waiting included, overtime to the next hour. Sprinter loops priced per vehicle per hour from five hours. Flat fares for airport transfers at each end. HST and gratuity shown at booking; venue parking where charged. On a corporate account, one invoice by event and cost centre. The rates page explains the hourly number.
Booking an event
For a couple's gala night, By the hour in the engine with the venue in the notes. For a company's event, a conference delegation or a TIFF programme, call or email the desk with the run of show and the transport plan follows. Peak weeks - TIFF, PDAC, Collision, the December calendar, the World Cup - are booked weeks ahead; the desk holds vehicles for account clients and says honestly when the city is full.
Charity galas and the sponsor's table
A company sponsoring a table of ten at a hospital foundation gala books an S-Class for the CEO, sedans for the guests from their homes across the city, and a Sprinter from the office for staff, with every car back at the venue's pickup point before the last award. The invoice is one line by event on the corporate account, and the guests, who are often the company's clients, remember the car at the door at 11:20 more than the auction. The Toronto Foundation and the hospital foundations publish the gala calendar each season; the desk holds cars on the big nights.
The run of show, as the desk uses it
Arrival window 6:00-6:45; cocktails to 7:30; dinner; programme 8:30-9:45; auction; dancing to midnight. From that the dispatcher sets the drop-offs for 6:15-6:30, positions the first cars at the pickup point at 9:40 for the guests who leave after the programme, and holds the rest until the organiser's text. A planner who sends the run of show gets a transport plan back the same day; one who sends it the night before gets it the same night.

Before the last speech. The single rule of event transportation: the car is at the pickup point before the event ends, not summoned when it does. A chauffeur who has worked the venue knows the moment - the closing thank-you, the encore's first song, the last award - and the dispatcher, with the programme, knows it too. Everything else is logistics.
Events, galas & TIFF: questions answered
How is a gala night booked?
As an hourly booking of four to six hours - the car waits through dinner and the auction and is positioned at the venue's car entrance before the last speech. Put the venue in the notes; the chauffeur knows the door.
Can you provide shuttles for a conference at the Convention Centre?
Yes - Executive Sprinters on a timed loop between the hotel block and the MTCC's Front Street or Lower Simcoe drop, built from the programme by the dispatcher, priced per vehicle per hour, on the corporate account.
How does TIFF work for transportation?
Red carpets have a marshalled drop-off order and window at each venue. Publicists book talent's festival days as twelve-hour blocks in July; galas and parties are evening blocks; every car in the city is reserved. The chauffeurs who work TIFF know each venue's protocol.
What venues do you know?
Casa Loma, the ROM, the AGO, the Carlu, the Fairmont Royal York, the Liberty Grand, Roy Thomson Hall, the Princess of Wales, the Lightbox, the Convention Centre, the Enercare Centre, the Congress Centre and the hotel ballrooms - each with its car entrance and its exit pattern.
Do you handle office holiday parties?
Yes - Sprinters to bring staff to a King West venue or a Vaughan hall and, more importantly, to take them home across the GTA at 1 am; S-Classes for client dinners; and New Year's Eve booked weeks ahead.
Are you covering the FIFA World Cup 2026 matches at BMO Field?
Yes - match days as hourly bookings with the Princes' Gate drop and the Strachan or Dufferin pickup, hospitality Sprinters from the hotel block, and the City's road closures watched by the desk.
How does an event planner work with you?
Send the run of show and the VIP list; the dispatcher returns a transport plan with vehicles, chauffeurs, drop and pickup points and the shuttle timetable, and is the planner's contact on the night. Changes are by text; the cars follow.
How far ahead should an event be booked?
A couple's gala, a week; a company's event or a conference delegation, weeks; TIFF, PDAC, Collision, the December calendar and the World Cup, as soon as the dates are known - the desk holds vehicles for account clients.
Four rules. No small print.
The hourly minimums are the ones printed in our terms; the rate for each class is quoted live by the reservation engine for your date. The rates page explains what moves it.
- 3hExecutive Sedan, Luxury Sedan, SUV
- 3hStretch Limousine, Economy Van
- 5hExecutive Sprinter, Stretch SUV, Coach, Limo/Party Bus
3-hour minimum
Sedans and SUVs book from three hours; Sprinters and coaches from five. After the minimum, time is billed by the hour.
The clock runs from your door
Hourly time starts at the pickup address, not at our garage. Garage travel, where it applies, is shown at booking in 30-minute blocks - never a surprise on the invoice.
Overtime rounds to the hour
Run past the reserved block and the extra time is billed to the next full hour at the same rate, with tax and gratuity as on the original booking.
Waiting is included
Hourly means the car waits. The meeting that runs long, the dinner that runs late, the second stop you did not plan - the chauffeur is outside, the clock simply continues.

Vetted in Toronto. Vetted at the far end.

LimousineWorldwide.Directory
Our listing in the worldwide directory is how a Toronto client who keeps a chauffeur by the hour here can do the same in Vancouver, London or Dubai through a vetted operator. Every Canadian city and every country on this site is served through that network.

LimousineAssociation.International
Membership commits us to the association's standards on licensing, commercial insurance, vehicle inspection and chauffeur conduct - the things a passenger cannot check from the back seat during a ten-hour day.

HotelsWorldwide.Directory
Our membership of the hotels directory links the car to the bed: concierges and hotel teams across the directory find a vetted Toronto chauffeur in one place, and our clients find the hotel at the far end of the drive - Yorkville, the airport strip, Niagara-on-the-Lake or Muskoka.

VacationsWorldwide.Directory
Membership of the vacations directory puts our day trips - Niagara, the wineries, Muskoka, Blue Mountain, Prince Edward County - in front of travellers planning the whole holiday, with the tours, resorts and activities around them listed alongside.
