Toronto is home. Vancouver, Calgary, Montreal, Ottawa and the rest are served on the same booking through vetted network operators - one standard, one invoice.

What a roadshow needs from a car service

A roadshow is a schedule with no slack. A CEO, a CFO and a banker have a 7:30 breakfast at the Ritz-Carlton with a portfolio manager, an 8:30 at a fund on King, a 9:30 at a bank on Bay, a 10:30 in Brookfield Place, an 11:30 in Yorkville, a lunch presentation at a hotel, a 2:00 at a pension fund on Bay, a 3:00 in the TD Centre, a 4:00 with the analyst, and a 6:00 flight from Pearson to Montreal for tomorrow's version of the same day. The deal team - the associate, the analyst, the IR lead, the syndicate desk's person - follows with the books and the laptops. Every minute between meetings is a car, and every car that is a minute late costs a meeting.

Roadshow transportation is an hourly booking built for that schedule: a Mercedes S-Class for the principals, an Executive Sprinter for the deal team, one chauffeur for each for the whole day, and a dispatcher who has the schedule in front of them and re-plans when a meeting runs long. The as-directed page is the general executive product; this page is the version with a printed schedule and a plane at the end.

How the day is run

The bank or the company's IR team sends the schedule - times, addresses, contact names - the day before, and the dispatcher builds a running order with the loading bay or entrance for each building, the drive time between them at that hour, and the point at which the schedule breaks if a meeting overruns. Each chauffeur has the running order on paper and on the phone. The cars are at the hotel at 7:15. Between meetings the chauffeurs move the cars to the next building's bay so the party walks out of one lobby and into a car already positioned. If the 9:30 runs to 10:15, the dispatcher texts the IR lead, moves the 10:30 in the running order and, if the day is truly broken, calls the next fund to say the party is twelve minutes out. At the end of the day the S-Class goes to Pearson with the flight tracked and the Sprinter takes the team to the hotel or the airport as required. The next morning the same chauffeurs are in Montreal or a network operator is, on the same account.

The buildings, and where the cars wait

Bay Street's towers are the roadshow's geography, and each has its rule. First Canadian Place, the King Street loading bay. Scotia Plaza, Adelaide. Brookfield Place, Bay north of the Hockey Hall of Fame. TD Centre, Wellington. Commerce Court, King at Bay, briefly. Royal Bank Plaza, Front. CIBC Square, Bay south of Front, the new lay-by. Bay Adelaide Centre, Temperance Street. The Exchange Tower, York Street. The hotels - the Ritz-Carlton on Wellington, the Shangri-La and St. Regis on Adelaide, the Four Seasons on Yorkville Avenue, the Fairmont Royal York on Front - each have a car-service entrance that is not the taxi entrance. A pension fund in Yorkville or a family office on Avenue Road has street parking with a three-minute rule. None of this appears on a map; all of it is what a roadshow buys when it books a Toronto chauffeur rather than a ride-app. The downtown area page has the loading-bay list.

Roadshow transportation in Toronto is an hourly booking - an S-Class for the principals and an Executive Sprinter for the deal team, one chauffeur each for the whole day - run from the investor-meeting schedule by a dispatcher who positions the cars at each tower's loading bay, re-plans when a meeting overruns, and sends the principals to Pearson with the flight tracked. Multi-day and multi-city on one account.

The vehicles

The Mercedes S-Class for the principals: two or three in the back, the cabin quiet enough to rehearse the pitch or take the call from the syndicate desk, the car at the curb saying what it should. Two S-Classes where the party is four or five principals with a banker. The Executive Sprinter for the deal team of four to ten with the books, the pull-up banner and the laptops; forward-facing captain's chairs so the associate can work, standing headroom so nobody arrives creased. The Luxury SUV where security travels with a principal or in a Toronto January. The fleet page has capacities and the engine takes each vehicle as its own booking on the same account.

Timing, minimums and the invoice

Each vehicle is an hourly booking with its class minimum - three hours for the S-Class, five for the Sprinter - and a roadshow day is usually ten to twelve hours per vehicle. Overtime rounds to the next hour at the same rate. The airport run at the end is either within the block or, where the party splits, a flat-rate Pearson transfer on the same account. Everything lands on the corporate account's monthly invoice by vehicle, by day and by cost centre - typically the bank's deal code - with HST itemised. The corporate accounts page explains the setup and the rates page the hourly number. Volume roadshow work carries a negotiated rate applied automatically.

Multi-city roadshows

Toronto Monday, Montreal Tuesday, New York Wednesday, Boston Thursday. Toronto is our chauffeurs; Montreal, Calgary and Vancouver are vetted network operators on the same account through the LimousineWorldwide.Directory; the US legs are arranged through the same network with a single point of contact, our desk, and one invoice. The multi-day page explains how a run of days is structured and the Canada hub how the standard travels. Where the roadshow drives between cities - Toronto to Montreal overnight, Toronto to Kitchener for a site visit - the city-to-city page prices the leg.

IPO weeks, non-deal roadshows and the analyst day

The IPO roadshow is the intense version: two weeks, four cities, a schedule that changes hourly. The non-deal roadshow is calmer - a day or two of investor meetings with no book to build - and is the most common Toronto booking. The analyst day or investor day at a hotel or the company's own offices needs Sprinters shuttling analysts from the Financial District, and a car for the CEO's press slot at BNN on Queen Street; the events page covers the venue side. Site visits - the plant in Oakville, the lab in Mississauga, the operation in Kitchener - are Sprinter days with the area pages giving the roads.

Confidentiality

Roadshow parties discuss material information in the car. Our chauffeurs are engaged under confidentiality terms, do not know and do not ask what the deal is, and will not remember the company's name a week later. The dispatcher's running order uses the addresses and the contact names the IR team supplies, nothing more. The Ontario Securities Commission's rules on selective disclosure are the client's concern; ours is to give them nothing to worry about in the back seat.

What the desk needs

The schedule with times, addresses and a contact at each meeting; the names and phones of the IR lead and one person on the deal team; the flight at the end of the day; the number of principals and the size of the team; the hotel. Send it by 6 pm the day before and the running order comes back by 8 with the loading bays marked. Changes during the day go to the dispatcher by text and are relayed to both chauffeurs at once.

A Toronto roadshow day, timed

7:15 both cars at the Ritz-Carlton, Wellington Street entrance. 7:30 breakfast in the hotel. 8:25 King Street, a fund's tower, the S-Class at the lay-by, the Sprinter behind it. 9:25 First Canadian Place, loading bay. 10:25 Brookfield Place, Bay Street. 11:20 Yorkville via Bay and Bloor, a pension fund's office, the cars on Hazelton. 12:15 the Four Seasons, lunch presentation, the cars at the Yorkville Avenue door. 1:50 Bay Street again, a bank's tower. 2:55 the TD Centre, Wellington. 3:55 the analyst's office on Adelaide. 4:45 the S-Class leaves for Pearson Terminal 1 via the Gardiner and the 427, flight tracked; the Sprinter takes the team to the hotel. Eleven hours each; eleven billed each; eleven meetings; none late.

Non-deal roadshows, and the calmer version

Most Toronto roadshow bookings are not IPOs. They are a company's CEO and CFO in town for a day of investor meetings after results, a private-equity firm's annual investor visits, a REIT's property tour with analysts in a Sprinter, or an international company's Canadian day on a global tour. The product is the same - an hourly S-Class and, where there is a team, a Sprinter, run from the schedule - with less drama and the same attention to the ninety seconds between lobby and car.

Working with the bank's travel desk

Investment banks' event and travel teams book roadshows across many cities, and the Toronto leg is one line in a spreadsheet. The desk works from that spreadsheet directly: confirmations reference the bank's deal code, the running order is returned in their format, changes are accepted from any named contact on the deal, and the invoice is issued to the bank's accounts-payable address with the code on it. Where the bank prefers a single global provider, we are a network operator for the Toronto leg; where they prefer local, we are the local. The network page explains the relationships.

The week before

For an IPO or a large deal the desk asks for the draft schedule a week out, blocks the vehicles and the chauffeurs, and holds them against the final. Cities are confirmed with the network operators at the same time. A change of date releases nothing until the deal team says so; a roadshow that slips a week keeps its cars.

The minute that matters. A roadshow is not measured in comfort but in the ninety seconds between the elevator and the car. Positioning the car at the right bay before the party comes down is the whole job, and it is why a roadshow books one chauffeur per vehicle for the day rather than a series of rides. Everything else on this page is detail.

FAQ

Corporate roadshow chauffeur: questions answered

How is a roadshow booked?

Send the investor-meeting schedule - times, addresses, contacts - to the desk by 6 pm the day before. Each vehicle is booked as an hourly block on the corporate account; the dispatcher returns a running order with the loading bay for each building and re-plans during the day.

What vehicles does a roadshow use?

A Mercedes S-Class for the principals - two where the party is larger - and an Executive Sprinter for the deal team with the books and laptops. A Luxury SUV where security travels with a principal.

What if a meeting runs long?

The dispatcher moves the running order, texts the IR lead, and calls the next fund with the revised arrival if the day is broken. The cars wait; overtime rounds to the next hour at the same rate.

Can the same chauffeurs do Montreal the next day?

The Toronto chauffeurs can drive to Montreal overnight as a city-to-city leg, or a vetted network operator in Montreal takes the next day on the same account with the same standard. Either way, one desk and one invoice.

How is a roadshow invoiced?

On the corporate account, monthly, by vehicle, by day and by cost centre - typically the deal code - with HST itemised. Volume roadshow work carries a negotiated hourly rate applied automatically.

Are the chauffeurs bound by confidentiality?

Yes. They are engaged under confidentiality terms, do not know or ask what the deal is, and the running order uses only the addresses and contact names supplied. Nothing said in the car goes anywhere.

Can the day end with an airport run?

Yes - within the block, with the flight tracked, or as a flat-rate Pearson transfer on the same account where the party splits. Give the flight number and the dispatcher times the departure from the last meeting.

Do you handle analyst days and site visits?

Yes. Sprinters shuttle analysts from the Financial District to the venue; site visits to Oakville, Mississauga or Kitchener are Sprinter days on the same account. The events page covers the venue side.

How hourly works

Four rules. No small print.

The hourly minimums are the ones printed in our terms; the rate for each class is quoted live by the reservation engine for your date. The rates page explains what moves it.

  • 3hExecutive Sedan, Luxury Sedan, SUV
  • 3hStretch Limousine, Economy Van
  • 5hExecutive Sprinter, Stretch SUV, Coach, Limo/Party Bus

3-hour minimum

Sedans and SUVs book from three hours; Sprinters and coaches from five. After the minimum, time is billed by the hour.

The clock runs from your door

Hourly time starts at the pickup address, not at our garage. Garage travel, where it applies, is shown at booking in 30-minute blocks - never a surprise on the invoice.

Overtime rounds to the hour

Run past the reserved block and the extra time is billed to the next full hour at the same rate, with tax and gratuity as on the original booking.

Waiting is included

Hourly means the car waits. The meeting that runs long, the dinner that runs late, the second stop you did not plan - the chauffeur is outside, the clock simply continues.

Toronto & the GTA

Seventeen areas. One hourly rate.

The clock starts at your door whether that door is on Bay Street, in Yorkville, in Oakville or in Newmarket. Pick the area for the local detail - garage time, venues, the roads that matter.
